Cancellation Policy

1. General Cancellation Policy

At Ananth Aravali Resort & Waterpark (operated by Gokulgarh Eco Resorts Private Limited), we understand that plans change. This policy outlines our cancellation and refund terms for various booking types.

2. Room Reservations

2.1 Standard Booking

  • More than 7 days before check-in: Full refund (100%)
  • 4-7 days before check-in: 50% refund of total booking amount
  • 2-3 days before check-in: 25% refund of total booking amount
  • Less than 48 hours before check-in: No refund (0%)
  • No-show: No refund (0%)

2.2 Non-Refundable Bookings

Promotional rates, special offers, and packages marked as "non-refundable" cannot be cancelled or modified. The full amount will be charged at the time of booking and is non-refundable under any circumstances.

2.3 Peak Season & Festival Bookings

During peak seasons, weekends, and festivals (including Diwali, Christmas, New Year, etc.):

  • More than 15 days before check-in: 75% refund
  • 8-15 days before check-in: 50% refund
  • Less than 7 days before check-in: No refund (0%)

3. Event & Wedding Bookings

3.1 Advance Payment

  • Minimum 25% advance payment required at the time of booking
  • Balance payment due 15 days before the event

3.2 Cancellation Terms

  • More than 60 days before event: 75% refund of advance paid
  • 30-60 days before event: 50% refund of advance paid
  • 15-30 days before event: 25% refund of advance paid
  • Less than 15 days before event: No refund (0%)

3.3 Modifications

Date changes are subject to availability and may incur additional charges. Menu changes must be finalized at least 7 days before the event.

4. Group Bookings (10+ Rooms)

  • More than 30 days before check-in: 80% refund
  • 15-30 days before check-in: 50% refund
  • Less than 15 days before check-in: No refund (0%)

Custom terms may apply for corporate bookings and special group packages.

5. Modification Policy

5.1 Date Changes

  • Date changes are allowed once, free of charge, if made more than 7 days before check-in
  • Changes must be made to dates within 6 months of the original booking date
  • Subject to room availability
  • Rate difference may apply for new dates

5.2 Guest Name Changes

Guest name changes are allowed without charge up to 24 hours before check-in.

5.3 Room Type Changes

Subject to availability. Upgrade charges apply. Downgrades may result in a partial refund or credit note at our discretion.

6. Refund Processing

6.1 Timeline

  • Refunds will be processed within 7-10 business days from the date of cancellation approval
  • Bank processing time may take an additional 5-7 business days
  • Refunds will be credited to the original payment method

6.2 Payment Gateway Charges

Payment gateway charges (typically 2-3% of booking amount) are non-refundable and will be deducted from the refund amount.

6.3 Alternative to Refund

Instead of a monetary refund, guests may opt for a credit voucher valid for 12 months from the date of cancellation, with an additional 10% bonus credit.

7. Special Circumstances

7.1 Force Majeure

In case of natural disasters, pandemics, government-imposed lockdowns, or other force majeure events that prevent travel, we will work with guests to either:

  • Reschedule the booking to a mutually agreed future date
  • Provide a credit voucher valid for 24 months
  • Process a refund as per the applicable cancellation policy

7.2 Medical Emergencies

In case of documented medical emergencies preventing travel, we may offer flexible rescheduling or partial refunds at our discretion. Medical documentation must be provided within 48 hours of the scheduled check-in date.

7.3 Resort-Initiated Cancellations

If we need to cancel your reservation due to unforeseen circumstances, you will receive a full refund plus a 25% credit voucher for a future stay.

8. Early Departure

Guests who check out early will not receive a refund for unused nights unless there are documented extenuating circumstances reviewed on a case-by-case basis.

9. How to Cancel

To cancel or modify your booking:

  • Online: Log into your account on our website and manage your booking
  • Email: Send cancellation request to reservation@anantharavali.in with your booking reference number

Important: Cancellations are effective from the date and time we receive and confirm your cancellation request, not from the date you send it.

10. Third-Party Bookings

For bookings made through third-party platforms (travel agencies, OTAs, etc.), please refer to their cancellation policy. Gokulgarh Eco Resorts Private Limited's cancellation policy may not apply to such bookings.

11. Policy Updates

We reserve the right to modify this cancellation policy at any time. The policy applicable at the time of booking will govern your reservation.
